Meeting Room Terms and Conditions – Werkplek050

These Terms and Conditions (“Terms”) apply to all external clients (“User”) booking and using meeting rooms at Werkplek050, Hereplein 4, 9711 GA, Groningen, Netherlands. By booking or using a meeting room, the User agrees to these Terms.

1. Booking and Confirmation

  1. Meeting rooms can be booked via the online booking system, by email, or by phone.
  2. Bookings are only confirmed after payment has been received or explicit confirmation from Werkplek050.
  3. Maximum usage per User is 5 hours per day.
  4. Pricing:
  5. First hour: €25 (excl. 21% VAT)
  6. Subsequent hours: €10 per hour (excl. 21% VAT)

2. Payment and Cancellation

  1. Full payment is required prior to the start of the booking.
  2. Accepted payment methods: bank transfer, iDEAL, or other methods specified by Werkplek050.
  3. Cancellations must be made at least 24 hours before the booking.
  4. Late cancellations or no-shows will be charged 100% of the booked amount.
  5. Werkplek050 may adjust prices with 4 weeks’ notice.

3. Use of the Meeting Room

  1. Meeting rooms may only be used for professional and lawful purposes.
  2. Users are responsible for the conduct of all attendees.
  3. Noise levels must be kept reasonable to avoid disturbing other clients or staff.
  4. Smoking, alcohol, drugs, or illegal activities are strictly prohibited.
  5. Pets are not allowed without prior written permission.
  6. Furniture, equipment, or IT/AV devices may not be removed or altered without approval.

4. Cleaning and Maintenance

  1. Users are expected to leave the meeting room in a clean and tidy condition after use.
  2. All trash must be disposed of in designated bins.
  3. Additional cleaning required due to misuse or excessive mess may incur a cleaning fee at Werkplek050’s discretion.
  4. Werkplek050 maintains access for maintenance and safety purposes and may enter rooms if necessary.

5. Liability and Indemnification

  1. Users are responsible for all personal property and equipment they bring into the meeting room. Werkplek050 is not liable for loss or damage.
  2. Users are liable for any damage caused to furniture, equipment, or the facility. Costs for repairs or replacements will be charged to the User.
  3. Werkplek050 is not responsible for any loss, damage, or costs arising from the User’s meeting, including business losses, data loss, or reputational damage.
  4. Users agree to indemnify and hold harmless Werkplek050 from claims arising from their use of the meeting room.

6. Access and Security

  1. Users must arrive and leave within the booked timeslot.
  2. Unauthorized access or extended use without approval may incur additional fees.
  3. Users must follow all safety instructions and house rules provided by Werkplek050.
  4. Werkplek050 uses video surveillance for security purposes; recordings are managed according to Dutch GDPR (AVG).

7. Force Majeure

Werkplek050 is not liable for failure to provide meeting room access due to events beyond its control, including but not limited to fire, flood, strikes, pandemics, or government restrictions.

8. Termination of Use

  1. Werkplek050 may refuse or terminate a booking immediately if:
  2. The User violates these Terms
  3. Engages in illegal activities or disruptive behavior
  4. Causes damage or poses a safety risk
  5. Termination does not exempt the User from payment obligations or liability for damages.

9. Governing Law

These Terms are governed by the laws of the Netherlands. Any disputes will be submitted to the competent courts in Groningen, Netherlands.
